The Role
We are seeking a professional, high-energy Medical Receptionist to be the first point of contact for our patients. You are the “face” of Coast Heart Institute, responsible for creating a welcoming atmosphere while ensuring the front-office operations run smoothly. The ideal candidate is someone who can balance administrative efficiency with a genuine sense of empathy for patients who may be facing stressful health challenges.
Key Responsibilities
• Patient Concierge: Greet patients warmly upon arrival, manage the check-in/check-out process, and provide necessary intake forms.
• Scheduling: Coordinate complex appointments, follow-ups, and diagnostic testing using our Electronic Medical Record (EMR) system.
• Communication: Manage a multi-line phone system, directing calls to the appropriate clinical staff and taking accurate messages.
• Insurance & Billing: Verify insurance eligibility, obtain necessary authorizations, and collect co-pays or outstanding balances at the time of service.
• Records Management: Maintain patient privacy and HIPAA compliance while handling sensitive medical records and updating demographic information.
• Clinic Flow: Collaborate with nurses and physicians to ensure the daily schedule stays on track and patients are kept informed of any delays.
Qualifications
• Experience: Minimum of 1–2 years in a medical office setting (Cardiology experience is a plus).
• Skills: Proficiency with EMR software and Microsoft Office Suite.
• Traits: Exceptional verbal communication, a polished professional appearance, and the ability to multitask in a fast-paced environment.
• Knowledge: Basic understanding of medical terminology and insurance protocols (PPO, HMO, Medicare).
• Education: High school diploma or equivalent required.
